What does an AI receptionist actually do?

It answers the phone when you cannot, and it does not sound like a phone menu.

A caller rings. The assistant picks up, speaks normally, asks the questions you told it to ask, and works out what the caller wants. If they want an appointment it checks your real calendar and books one. If they want something it cannot handle, it takes the details and sends them to you. Either way you get a written summary of the call.

It is set up around your business, your hours, your services and the questions your callers actually ask. It is not a generic bot with your name on it.

Who is this actually for?

Businesses that lose work to missed calls, and know it.

Usually that means the phone rings while you are with a customer, or after hours, or on a Saturday. Trades, clinics, salons, studios, small practices. If a missed call is a lost job rather than a voicemail you return on Monday, the maths is easy.

It is not for businesses whose calls need judgement on the first ring, or anything where being wrong is dangerous. Medical triage, legal advice, emergency dispatch. Say no to those.

Will callers know it is not a person?

Some will, and it does not tell them it is human.

The assistant is polite about what it is. It does not pretend, and it does not stall. What matters more than the illusion is that it answers on the first ring, knows your hours, and can actually book. Most callers care about being handled, not about who handled them.

If a caller wants a person, it says so and takes a message.

The first weeks are for correcting it. A caller phrases something the assistant did not expect, and the answer is to add that to what it knows. That is what the monthly covers. It is a system you tune, not a box you switch on.
